Do you wish to supply goods and services to the government? Then, you must register with the Integrated Financial Management Information System (IFMIS). It is an electronic procurement system (e-procurement) that the National Treasury rolled out throughout the country.
The main aim of IFMIS Supplier Self Registration is to serve Kenyans effectively on issues relating to public procurement, including procurement planning, requisitioning, sourcing, and payment. Its e-procurement module has been designed in a way that it enhances transparency and accountability. Therefore the application is equitably, competitively, and cost-effectively by all government procuring entities.
What do you need to register on IFMIS as a supplier?
It’s important to note that you can either register on IFMIS as a supplier for a company or as an individual. All you need are your authentic documents for whichever entity you are registering for.
Below, we have listed the requirements you will need before you register.
- Individual or company’s KRA PIN
- Business registration number for companies and sole proprietors
- Personal or company email address
- Contact names and phone numbers
How to Register on IFMIS as a Supplier
To register on IFMIS, use your favorite browser to access the IFMIS portal.
- Slide to the left-hand side and click on the “Ocate the supplier self-registration option.”
- Next, enter the company or business registration number, depending on the entity you are applying for.
- Key in the company’s KRA pin, and if you are registering for an individual business name, enter your personal pin.
- Now, confirm if the details you have entered are correct, then click on “validate.”
- Ensure you’ve linked your business on the eCitizen portal, and the company’s name or business will appear at the top.
- This will lead you to the next page of contact information.
While here, enter the company’s or personal email, contact name, and phone number. - Click on “submit” and wait for the confirmation message in your email.
- Finally, check the email you have used to register and access the username and password.
We’ll now take you through the login process since you can access the username and password.
How to Login on the IFMIS Portal as a Supplier
- Simply open the IFMIS portal.
- On the user name part, enter the email address you used during registration.
- Enter the password you received in the email and click on “login.”
Once you login, remember to change the password since it is your first login.
Take note that you should always use a memorable password. However, for subsequent logins, you can easily change the password through the IFMIS portal.
4. You will see the IFMIS number on the right-hand side, just below your email.
Requirements to process a tender
For you to successfully process a tender, here is what you’ll require
- A valid Tax Compliance Certificate
- Certificate of Registration or Incorporation
- AGPO Certificate
- A duly filled Confidential Business Questionnaire (S33)
- KRA PIN Certificate
How Can You Access and Process Your Tender?
In the event you win a tender, you will get a notification in your email. But to access your tender, you have to log in to the IFMIS portal.
1) While on the main menu, click and open the sourcing supplier folder and check your tender notifications.
2) Slide to the right-hand side, choose “actions,” and accept participation.
3) Click on the negotiation number to respond to a request for a quotation. Here, the negotiations page will open.
4) The header tab will display the terms and conditions, currency, documents you require, and attachments.
5) Choose “show all details” to see the documents you need. And, if required to download a business questionnaire, do it and fill it out correctly.
While the lines tab shows the goods you are supposed to supply, the controls tab has the response rules.
How to Respond to a Quote After You Register on IFMIS as a Supplier
Click the actions box, select a printable view, and choose “download the tender documents.” It will show you the prices of the items and the instructions to follow.
Create your quote on the right-hand side next to actions by clicking on “go.”
Look for the attachment option in the header section.
Next, attach all the required documents, including the scanned tender document.
On the lines tab, input the prices of all the tendered items.
To complete the process, click on “continue” to submit your feedback.
